  • Help Organising Fair in Bristol

    Hi, I'm currently looking into organising a handmade and gifts fair in Bristol around October/November time. I haven't hosted a fair before but I'm determined and sure that i'd be able to put on a successful event. Most fairs I've been to have been poorly advertised and I find it reflects on the event itself. My aim is to have the majority organised by the end of June and was just wondering if anyone has any advice on Insurance companies, risk assessments etc - basically all of the legal stuff that would be required, As well as any other advice for someone starting out organising fairs?

    I'd really appreciate any advice or tips you may have.

                Laura,

                I am an event organizer in the NorthWest, based in Bolton, last month I organized my first handmade craft fair from scratch in 3 weeks and somehow managed to pull it off.

                I now have 6 more booked for the remainder of 2011 & nearly all are booked up with stall holders allready.

                The mains issues you need to address as:

                Insurance
                Advertising
                Stall Bookings

                Insurance:

                Deending on the venue you book 7 event type you may need to take out insurance to cover your event. I use a church to host my event and as it is a community event am therefore covered by the insurance of the church. Private venues may require you to have your own event insurance, if not you may be able to be covered under theirs.

                Advertising:

                I used all channels to my advantage by doing a large flyer drop in the area (over 1000 flyers), posters for all shops in the local vacinity. a web prescence and adding your event to this and other craft websites & forums, so you cna spread the word about your event.

                ON site advertising eg banners will be required so the people in the locallity are aware of your event. plus free whats on section advertising in your local press.

                Stall holders:

                As my venue is smaller I do not double up on stall holders ie 1 card stall not 2. the only craft with 2 stall holders is jewellery & they must be different so as not to clash with each other.

                If you have too many stall holder of one craft it will turn customers away. I have 11 stalls and 10 different crafts to make the fair more marketable.

                Charges -- my event is free entry as the money from the stall holders covers costs. as if the event doesnt look good people will not pay to come in.

                  Harriet - Ah, the form seems to take a couple of minutes to load sometimes for some reason..eek.

                  Roslet - Thankyou for the virtual support, I really appreciate it! You never know, it may be a massive success and I'll put on a craft fair near you soon!

                  Bluesilver - THANKYOU for all of your advise. It's quite a daunting task but well done for putting on a successful event in so little time! I was worried that I was leaving it a bit late to start organising for a few months time, but that makes me feel much better.

                  As for Insurance, do you mind if I ask which company you use? One of the venues I'm looking at is a church as it's in a great location. Are there any other legal things you have to sort out, like risk assessments, requirements if selling homemade food (cakes) etc, That you know of?
                  Advertising is going to be my favourite part - I graduated with a degree in advertising last year so I've got a few tricks for that issue! All channels is definitely the way I'll be going too.

                  I may be picking your brain more as things start to come together!

                      Thanks for filling in the form.
                      I've had a look at your website, you have some really lovely things on there. That Lemon Meringue Soap Roll looks tasty!

                      I'm definitely going to put on an event. From the amount of interest recieved it shows the lack of craft fairs in Bristol. Once a venue is booked - the fun begins!

                            Hi Everyone, The fair is definitely going ahead and is provisionally booked for Saturday 8th October at a venue in South Bristol!

                            Thanks for your interest in the fair so far! Please keep filling in the stallholder form (Link can be found below or direct link to form on my profile page) so we have a real variety of stalls at the event.

                            I'm hoping to book the venue and confirm prices etc by Mid-July at the latest. I will contact those on the stallholder interest list first. Get your craft at the fair!!

                              Hi Everyone

                              Just to update you on the progress of the fair. The venue is now booked. Unfortunatley I had to change the provisional date due to football traffic and parking issues. The Confirmed date is Saturday 15th October!
                              Those who filled in the stallholder form - Please check your email. The direct link to the stallholder form will remain live until this afternoon. I'm afraid others will have to wait until next week to recieve details of the fair. It's getting a bit exciting now!
